For the gala night alongside the congress, the Galería de Cristal at the Palacio de Cibeles seats large groups under its glass vault, and the five-star hotels around Canalejas and the Paseo del Prado work well as headquarters hotels.

Do international companies pay 0% Spanish VAT on Madrid events?

When is the best time of year for a corporate event in Madrid?

April to June and September to November are ideal: dry, sunny and reliable enough to commit to terrace receptions and courtyard dinners months ahead. July and August are very hot and much of corporate Madrid slows down in August; winter is crisp and well-priced for indoor conferences. Check the IFEMA trade-fair calendar when fixing dates — city-wide fairs such as Fitur push hotel rates up sharply.

How far in advance should we book a Madrid event?

Six to nine months for large congresses and for dates that sit alongside major trade fairs; eight to twelve weeks can work for smaller meetings and incentives. Madrid's luxury-hotel core is compact, so headquarters hotels around Canalejas and the Paseo del Prado go first — and talk to us even on short notice, as our supplier relationships open doors that public availability does not show.

Does your team work in English and other languages?

Yes. We work in English, Spanish, German and French across every stage, from proposals to on-site coordination and supplier management, with further European languages on request. International delegates and your head office are looked after in their own language throughout the event.
